The Shakespeare Temperance Trust (Charity No: 1199962) is a UK-registered charity that provides grants and manages rental properties. Our purpose is to support projects that help vulnerable communities within the city centre. We are the data controller.

When you apply for funding through our website, we collect the following information via our contact or application form:

- Email address and/or mobile number
- Postal address
- Organisation name and contact details (if applicable)
- Bank account details (for payment of any grant)
We do not collect any special category (sensitive) data unless it is included voluntarily as part of your project description.

The information you submit is sent directly to the trustees via email. We do not store applicant data on the website itself.
4. How we use your information
We collect contact, financial, and application information from trustees, tenants, grant applicants and suppliers. We use this data to administer grants, manage tenancies, comply with law, and maintain records.
If you submit your information to us via this website, we will use your information to:
- Process and assess your funding application
- Contact you about your application or grant payment
- Maintain basic records for audit and reporting purposes
- Notify you of future funding rounds, if you’ve requested to be kept informed
We will not use your data for marketing, fundraising, or share it with any third parties for commercial purposes.
5. Legal basis for processing your data
We process your personal data under the following lawful bases:
- Contract – where we award a grant, we enter into an agreement with you or your organisation outlining how the funds will be used. We need to process your personal information (such as your contact and bank details) in order to fulfil the terms of that grant agreement and make payments.
- Legitimate interests – to administer grant applications and communicate with applicants.
- Legal obligation – to meet our obligations as a registered charity, including record-keeping and financial reporting.
- Consent – where you’ve asked to be added to our contact list for future funding updates.
6. How long we keep your data
We keep applicant details only for as long as necessary to:
- assess and manage funding applications
- meet legal and financial record-keeping obligations
Typically, this will be up to seven years after the end of the financial year in which a grant is made, in line with charity accounting requirements.
If your application is unsuccessful, we will normally delete your personal data within 12 months, unless you have asked to stay on our contact list for future funding notifications.
7. How we protect your data
We share data only with regulators or service providers where required by law. We take appropriate measures to keep your data secure, including:
- storing emails and records on password-protected devices
- limiting access to trustees who need the information
- deleting or anonymising data once it is no longer require

You may access, correct, delete, or object to processing of your data. Under UK data protection law, you have the right to:
- Access a copy of your personal data
- Ask us to correct, delete, or restrict use of your data
- Withdraw your consent to receive updates at any time
